Set the count for one product
Set the exact number of units on hand to correct mismatches between the system and the shelf.

Before you start
You need at least one location. If you use multiple locations, you pick which location the count is for before opening the adjust panel.
Set the exact count
- In Inventory, find and click the product.
- Tap the Adjust button (or press A).
- Select the Set count action.
- Enter the number of units you count on the shelf in the Counted on hand field.
- Add an optional note (reason for the correction).
- You see a preview showing the old count and the new count. Confirm the math, then press Save.
The On hand count changes to the number you entered. Reserved and Unavailable stay the same, so Available updates automatically.
What the numbers mean
Before you set a count, read the inventory row to understand what you are seeing. For example:
- A product shows On hand 42, Reserved 5, Unavailable 2.
- You count the shelf and find 38 units.
- You set the count to 38.
- Reserved stays 5 (those units are in orders), Unavailable stays 2 (damaged or held back).
- The system calculates Available = 38 − 5 − 2 = 31.
If Reserved is high or Unavailable is more than zero, the count you set is correct, but Available (the number customers can buy) is lower than what's on the shelf.
Difference between Set count and Remove
Both change the On hand number, but in different ways.
- Set count states what you count: if the shelf has 25 units, you enter 25.
- Remove subtracts from what the system thinks is there: if the system says 30 and you physically found only 25, you remove 5.
Use Set count when you want to record the exact count. Use Remove to log a specific loss (theft, breakage, or a correction where you know exactly how many went missing).
Why Corrections are important
If your count and the system's On hand mismatch:
- Customers might see products as available when they are not.
- You lose money: orders stay marked as Unpaid or Pending when stock is really gone.
- Returns restock the wrong amount.
Do a careful count and set it in the system right away.
Questions people ask
Can I undo a Set count?
No. Once you press Save, the new count is recorded in history. If you made a mistake, count again and set the correct number. The old count is logged in the history; both adjustments appear in the Stock movements sheet.
Does the note show on the receipt or customer side?
No. The note is internal only — to help you remember why you made the adjustment.
What if Reserved is higher than the On hand count I'm setting?
This is allowed. It means orders have reserved units that are not physically on the shelf. This is unusual — usually because orders were marked delivered but the items never left. The Available count will go negative or zero, which blocks customers from buying. See the dashboard's Negative Inventory Report or the Inventory page's Oversold filter.
