How order statuses change stock
Omnikyo moves stock automatically when you change an order's status. Each status change affects On hand and Reserved differently.

The stock moves for each status change
Stock moves automatically when an order changes status. The following table shows exactly what happens to On hand and Reserved (in the order's fulfillment location) when you move an order from one status to another.

All status changes appear in the order's history and in the product's stock history.
Before you dispatch: the Low Stock Warning
When you move an order to Dispatched from the order details window, Omnikyo checks if each line has enough stock at its location (On hand minus damaged units). If not, a Low Stock Warning dialog lists the short items. Other ways of changing status do not show this check:
- Low Stock Warning — "Dispatching this order will result in negative stock for the following items."
- Each line shows: the product, the location, Current stock, Required, and what will be left (After).
- Buttons: Cancel (do not ship yet) or Proceed Anyway (ship and go negative).
If a check fails (e.g. the location was deleted while you were editing), the order moves anyway and the stock moves as normal.
Partial returns and exchanges
Partial return orders (when a customer returns only some items) do not reserve stock when you create them. When you receive the returned items in a Return case, the quantity goes back On hand at that order line's location, with history Return received.
Exchange orders (when you are sending a different size or model) reserve like normal orders. When you receive them back, treat them like any returned order — record them as Return Pending → Returned, or receive them through a return case.
Returning items through a return case
When a customer sends items back, two buttons put stock back:
- Receive & restock — all returned items go back On hand at the line's location.
- Mark Returned & Restock (per item) — one item goes back On hand if it is received.
Both write history Return received at that location. No units are added twice.
An order's fulfillment location
The location where stock is moved is the location you chose when you created the order (the Fulfil from dropdown). Every line of the order uses the same location.
If you edit an order's items, the new lines reserve at the default location (not the original location). The original reservation is released from the old location. This can cause stock to move between locations unexpectedly. Read more about how an order picks a location.
Notes on the table
- "Reserved status" = New, Confirmed, Hold, or Preparing.
- "Returned units" = the quantity minus any units already received in a return case. For example, if an order shipped 10 units and a return case has already received 3, moving to Returned puts back 7.
- "Unreturned quantity" = quantity minus returned_quantity (from return cases).
- A returned order that you move back to a reserved status re-reserves the full quantity and restocks only the portion that had shipped (if any).
- When an order is in Hold status, stock stays reserved. A nightly job (00:05 Dhaka time) moves held orders that have a scheduled shipment date back to Confirmed once that date arrives, and the reservation stays through the move.
Unusual moves (not in the menu)
Some status changes do not appear in the dropdown because they would skip a step, but they can happen in the database:
- Dispatched or Delivered → Cancelled — restocks the unreturned portion.
- Cancelled → Dispatched or Delivered (a cancelled order is shipped anyway) — takes units off On hand.
Both follow the same stock rules as the normal path.
