Order statuses and the lifecycle
Every order passes through statuses as it is confirmed, prepared, sent to a courier, delivered, or returned. You can change an order's status manually, and the app enforces which moves are allowed.

The nine statuses

Understanding each status
New
Orders from your online store start in New. An order you create yourself with the Create Order form starts in Confirmed instead (the form assumes you already agreed it with the customer). Items are already reserved at this point: a New, Confirmed, Preparing or Hold order all count against Available stock, so the same units cannot be promised twice.
You can move to Confirmed when the customer has agreed and payment is settled, or to Hold if the customer asks you to wait, or to Cancelled if the customer changes their mind.
Confirmed
Moving an order to Confirmed does not reserve anything new, because the items were already reserved when the order was created. The reservation carries on, so the available quantity for other orders stays reduced. If you had 10 units and have a 3-unit order, the next order sees 7 available.
At this point, you usually collect or confirm payment, then move the order to Preparing so staff knows it is next to pack.
Preparing
The order is in Preparing while your team packs it. Items stay reserved. When packing is done, move it to Dispatched and send it to a courier (or mark it dispatched manually if using your own delivery).
Dispatched
When you move an order to Dispatched, the items are deducted from On hand and the reservation is released at the same moment. The order is now with the courier (or waiting to be picked up).
If the courier status updates (picked up, in transit, delivered), you see those updates in the order's Courier tab.
Delivered
Once the courier confirms delivery, move the order to Delivered. At this moment the app records the unpaid balance (total minus advance) as collected cash, unless cash was already recorded, and sets the amount due to zero.
From Delivered, you can still process returns — move to Return Pending if the customer wants to return items.
Return Pending
When a customer wants to return items, move the order (or a partial return case) to Return Pending. The parcel is on its way back to you and stock does not change yet. Once you receive it, move to Returned: the items go back On hand at that moment (minus any units already received through a return case).
Returned
Returned is the final status for a returned order. Items are back On hand, except units already received through a return case. No further moves are possible.
Hold
Use Hold to pause an order without cancelling it. Items stay reserved, but you are not actively preparing it. Use this when a customer asks you to wait a few days, or when you are waiting for stock to arrive. An order on Hold with a scheduled shipment date is moved back to Confirmed automatically just after midnight (Dhaka time) on that date.
From Hold, you can move back to New or Confirmed (to resume), or to Cancelled (to cancel the wait and release stock).
Cancelled
A Cancelled order is closed. Reserved items are released back to Available immediately.
You can only move back to New if you want to resurrect the order (rare); the items are reserved again at that moment.
How to change an order's status
Open an order and look at the Status row in the left column. Click the status badge to open a dropdown showing the statuses you can move to. Pick one and the change takes effect instantly. The dropdown only offers moves that are allowed from the current status. You need the Update Status permission to change a status.
You can also change status from the Orders list: click the three-dot menu on the order row and select Change Status.
Changing status in bulk
To change the status of many orders at once: select them (using checkboxes), and the bulk toolbar appears. Open the Status menu and choose an action such as Mark Dispatched, Mark Delivered, Hold Orders or Cancel Orders. (The Ship button is different: it books the selected orders with a courier.)
If an order cannot move to that status (e.g. it is already Delivered), the app skips it and tells you how many succeeded and how many failed.
Stock and payment side effects
Items are reserved as soon as an order exists in New, Confirmed, Preparing or Hold. Moving between those four statuses does not change stock.
When you move to Dispatched (or straight to Delivered), On hand and Reserved both drop by the order quantity, so Available does not change.
When you move to Delivered, the unpaid balance is recorded as cash collected (or the cash already recorded is kept) and the amount due becomes zero. Once any advance or cash is recorded on an order, the order editor can no longer change the payment amounts; changes go through the payment or refund flow.
When you move to Cancelled, the reservation is released and the units become Available again. Cancelling does not change the payment fields.
When you move a Dispatched or Delivered order to Return Pending, stock does not change. When it moves on to Returned, the units not already received through a return case go back On hand.
Moving a Cancelled order back to New reserves its items again.
Questions people ask
What is the difference between Hold and New?
New means the order has arrived and you have not confirmed it yet. Hold means you are deliberately pausing it (the customer asked you to wait, or you are waiting for more stock); you can put an order on Hold from New, Confirmed or Preparing. Both statuses keep the items reserved. A Hold order with a scheduled shipment date returns to Confirmed by itself on that date.
If I cancel an order, does the customer get refunded?
The status change itself does not trigger a refund. If the customer paid via bKash, you need to refund them separately. If it was COD, no payment was made yet.
Why can't I move an order from Dispatched back to Confirmed?
Once an order is dispatched, the stock is deducted and the parcel is out, so the status table only allows Delivered or Return Pending from there. Moving back is not offered.
Can I process a return from Dispatched, or only from Delivered?
You can only move to Return Pending from Dispatched or Delivered. So yes, a parcel can start its return while it is still showing as Dispatched — the courier will pick it up and bring it back.
