Edit or delete an order

Edit order customer details, items, amounts and notes only when the order is New, Confirmed, Hold or Preparing. Once a payment is recorded, payment fields lock. Delete an order permanently and release its stock.

Edit an order

The Edit Order button appears at the bottom of the order details when the order is still editable (New, Confirmed, Hold or Preparing status). Clicking it opens the same form you used to create the order, pre-filled with the current data.

What you can change:

  • Customer: name, phone, address, city, email.
  • Items: remove any item, change quantity, change the unit price (the order total recomputes).
  • Amounts: shipping fee, discount, advance payment.
  • Notes: internal (team only) and courier notes.
  • Payment method (if no payment has been recorded yet).

What you cannot change:

  • The Fulfil from location (once items are in the order, they are reserved at that location; moving them would be complex).
  • The Source (origin channel) — if the order came from your Omnikyo store, Shopify, or your own website, the source field is disabled.
  • Payment fields, if payment has been recorded — see "Payment locked" below.

To edit:

  1. Open the order.
  2. Click Edit Order at the bottom.
  3. Make your changes.
  4. Click Save Changes to save.
  5. Toast "Order Updated!" confirms the save, or "Order was not updated" if it failed (with a reason).

Good to know: Customer changes update the saved customer record, not just this order. If you change a phone number, it applies to all future orders from that customer too.

Payment locked

If the order has a recorded payment (the customer already paid in advance, or you collected COD cash), the payment fields are locked and show a green note: "Payment recorded. {{Recorded via Bkash: ৳5,000}}". This stops you from accidentally reducing the order total below what is already paid.

When locked:

  • The Payment method field is disabled.
  • The Advance payment amount is disabled.
  • The Cash collected field is disabled (if it is a COD order).
  • You can still change items, shipping, discount and the total, but the total must stay at or above the recorded payment amount. If you try to save below that amount, you get "Total is below payment received — Keep the total at or above ৳5,000, or refund/credit the difference first."

To lower the total below a recorded payment, you must first refund or credit the difference using the Refund button in the order's Payments card.

When you cannot edit

The Edit Order button does not appear (and clicking it shows an error) when:

  • The order is Dispatched, Delivered, Returned, Return Pending or Cancelled — these statuses are too late for editing.
  • You don't have the Edit orders permission — you see "You don't have permission to change this order. Ask a business owner to enable order editing for your account."

To make changes to dispatched or delivered orders, you must use returns, exchanges, or refunds.

Delete an order

The Delete button appears at the bottom of the order details in the Actions menu. Deleting permanently removes the order and all its data. It cannot be undone.

What happens when you delete:

  • The order is marked Cancelled (stock is released).
  • All items, notes, payment records and activity are removed from the database.
  • The order display ID (#9999, etc.) is gone.
  • Stock reserved by the order is freed back into inventory.

To delete:

  1. Open the order.
  2. Click Delete (usually in a Actions menu or at the bottom).
  3. A confirmation dialog appears: "Delete this order?" — "This action cannot be undone. This will permanently delete order #9999 and all associated data. To confirm, please type the order ID below."
  4. Type the order's display ID exactly (e.g. 9999 or 1234-E1 for an exchange).
  5. The Delete order button activates.
  6. Click Delete order.
  7. Toast "Order Deleted" — "…has been permanently deleted." confirms it is gone.

If the delete fails, you see "Deletion Failed" with a reason.

Questions people ask

Can I edit a dispatched order?

No. Once Dispatched, the order is with the courier. Use returns or exchanges instead. If you made a mistake on a dispatched order, process a return and create a new order.

I don't have Edit Orders permission. What can I do?

You need the business owner or manager to enable the Edit orders permission for your role in Settings › Team.

Can I undo a deletion?

No. The order is permanently deleted and cannot be recovered. Always confirm the order ID before deleting.

What if I want to change an order that is already Delivered?

You cannot edit it directly. Instead:

  • To swap an item, use Create Exchange to start a new order.
  • To take back an item, use Partial Return (the New Return button on the order).
  • To refund a payment, use the Refund button on the Payments card.
