Do a stock count (stock take)

Count many products at once on desktop or mobile, then save the results to correct your inventory.

Before you start

Stock counting is a full reconciliation — it takes time. Clear your schedule and gather your team if you are counting a large inventory. You can save the count in stages, so you do not have to do it all at once.

You need at least one location. If you have multiple locations, pick one to count at a time.

Start a count on desktop

1. Go to Inventory and press the Count stock button.
2. The page switches to count mode. You see the product list with an extra Counted on hand column (empty) and a summary bar at the top showing progress: X of Y counted.
3. Optionally, search or filter the list to focus on a section.

You are now in count mode on the desktop. The summary, toolbar, and filter pills are replaced with a count header and a search box.

Start a count on a phone

On a mobile device, the interface changes automatically:

1. Press Count stock.
2. You see a large, touch-friendly list of products with product images.
3. A header shows progress and a search box.

The phone interface is designed for fast counting: you tap the checkmark to confirm the count equals the system's count (fast confirmation), use + and − buttons to adjust, or type a number for products that differ.

Enter a count

For each product you count:

1. Enter the actual count in the Counted on hand field. You can:
   • Type the number directly.
   • Use + and − buttons to adjust (especially on mobile).
   • On mobile, tap the ✓ button to confirm the count equals the system's count.
2. As you enter a count, the row highlights:
   • Matching: the count matches the system's On hand number (green).
   • Difference: the count differs (blue highlight shows the difference: +5 or −3).
   • Not counted yet: empty (normal).

Review and save

When you finish counting (or want to save progress):

1. Press Finish (desktop) or Save (mobile) at the bottom.
2. You see a summary: how many products are counted, how many have differences.
3. Check for errors (a big difference might indicate a typo).
4. Press Save to commit the count.

All counted values become Set count adjustments in the system. Each product's On hand becomes the count you entered.

Fix a mistake during counting

If you notice an error:

1. Find the product again in the list.
2. Change the count.
3. The row updates instantly; the difference is recalculated.

You can also Discard the entire count at any time (a warning appears). Starting over deletes all the counts you have entered and goes back to the normal Inventory view.

What happens after you save

Once you press Save:

• Every Counted on hand value becomes a Set count adjustment in the system.
• Each product's On hand number is updated.
• All the counts appear in each product's Stock movements history.
• Reserved and Unavailable counts do not change.

If you realize you made a mistake after saving, open the product and use Adjust > Set count to correct it individually.

Variations

Count at a specific location

If you manage multiple locations:

1. In Inventory, switch to the location you want to count (location selector at the top).
2. Then press Count stock. The count covers only the products at that location.

Save and come back later

You can step away mid-count:

1. Press Finish and Save (or Discard if you want to cancel).
2. All saved counts are committed; you see a summary.
3. Start another count later — the new count will overwrite the old one for any products you recount.

If you recount the same product again later (in a new count session), the new number replaces the previous one in the system.

Mobile: how to count fast

The mobile interface is optimized for speed:

1. Tap the ✓ button if the count matches the system (fastest).
2. Use + and − to adjust by one (for most mismatches).
3. Tap the number field and type if you want to enter the exact count.
4. Enter or Next moves to the next product.

Progress and counted/changed totals appear in the header. A "fixed" badge shows products that differ from the system; a green checkmark shows matches.

Questions people ask

If I save a partial count, can I continue later?

Not in the same count session. Once you press Save, the count is finalized. Start a new Count stock to pick up where you left off. Any products you recount will overwrite the previous count.

Do variants count separately?

Yes. Each variant is a separate row. A product with 3 variants has 3 rows in the count sheet. Count each one.

What happens to my orders during a count?

Orders are not affected. If an order reserves units during a count, the reserved count reflects the order when you save. However, the On hand count you enter is the source of truth — it overwrites what the system thought.

Can I undo a count?

Once saved, a count is committed. Use Adjust > Set count to correct individual products afterward.
