How inventory works

Inventory tracks how much stock you have, where it is held, and what is promised to orders.

What it is

Stock tracking in Omnikyo starts on the day you open your account. Every product exists at one location or more, and every location has stock counts. You see On hand (units physically there), Reserved (units promised to open orders that have not yet shipped), Unavailable (units damaged or held back from sale), and Available (on hand minus reserved and unavailable — the amount you can sell).

One business is created with one location by default, called Main location. A location is a warehouse, retail outlet, or virtual bucket where you keep stock. You can add more locations in Settings > Locations if you have multiple warehouses, shops, or dropship sources.

Every product without a status is listed on the Inventory page, whether it has ever been stocked or not. Archived products appear too. A location never assigned to a product shows zero across the board.

How it works

Stock changes in two ways: automatically and by hand.

Automatically, when an order moves through statuses: an order that ships (Dispatched or Delivered) takes units from On hand. An order that is placed reserves units for that location; an order that is cancelled releases the reservation without taking stock. A returned parcel puts units back into On hand when the return is received.

By hand, you adjust stock with Receive (new stock arrives), Remove (lost, stolen or written off), Set count (physical count), or Unavailable (damaged or held). These actions affect only On hand and Unavailable. You also Transfer stock between locations.

Available = On hand − Reserved − Unavailable. It is the headline number: the stock you can sell right now. The Inventory page marks Available as Out when it is zero or less, Low when it is 1 to 5 units, and the number above 5.

A single product can sit in multiple locations. An order line always comes from exactly one location — chosen by you (when you create it), by a routing rule (when it comes from a channel like Instagram), or by the system (the default location). The order then draws its units from that one location, not split across many.

The parts

The Inventory page shows one location's stock at a time. At the top are summary tiles: how many units are on hand, the stock value at cost, counts of low-stock and out-of-stock products, and how many units are unavailable. Below are pills for All, Out of stock, and Low stock products — click one to filter. A search box finds products by name or SKU. Filters opens a popover where you can choose a different location (if you have more than one), filter by product type or stock state, and set which columns to show.

The table lists every product at the selected location with columns for Product, SKU, Available, On hand, Reserved, and Unavailable. Click a row to see more: the product's price, cost, photos, and per-location stock with history. Use Adjust to change stock. Use the ... menu to see stock movements (History) or move units between locations (Transfer).

On a phone, each product is a card. Tap to open the details. The ... menu is not shown, so History and Transfer are reached from inside the product details instead.

Rules and limits

  • On hand can go below zero (when more items ship than were stocked), but you cannot manually drive it below zero with Remove or Set count. Negative stock is allowed because orders are often taken in advance; the Oversold filter and the Negative Inventory Report help you track it.
  • Reserved is units promised to orders with statuses New, Confirmed, Hold, or Preparing. The moment an order ships (Dispatched), the reserved units move to shipped and are taken from On hand. Reserved never goes below zero.
  • Unavailable counts units that are damaged, held back, or otherwise not for sale. It cannot exceed On hand (the form blocks it). You set it with the Unavailable adjustment.
  • Low stock is a fixed threshold: 1 to 5 units available. There is no setting to change it. The count includes all products whose available stock is in that range at the selected location.
  • Out of stock means available is zero or less (including negative stock).
  • Stock value is calculated only for products with a cost price set. The value is (On hand × cost price), summed across the location's products. Products without a cost price are counted separately as "without a cost".
  • Search matches product names and SKUs, case-insensitive. It runs after you stop typing (about 300 ms). Sorting by Available or On hand, or using a stock filter, lists only products that already have a stock record at the location. Default sort lists every product, including those never stocked, as zeros.
  • Page size options are 10, 20, 50, or 100 rows (default 20). More than 30,000 stock rows at a location cause the summary totals to silently cap and understated — the page shows no warning.

Common situations

Take an order for 5 units that you do not have yet. The order is placed with status New. It reserves 5 units, so Reserved jumps to 5 and Available drops to −5 (−5 = 0 on hand − 5 reserved − 0 unavailable). The Oversold filter finds it. When the units arrive, you use Receive to add 5 to On hand, and Available becomes 0. When you dispatch the order, it moves to Dispatched, the 5 units are taken from On hand (now −5 again), and the reservation is cleared.

You have 100 units at the Main location and 50 at the Dhaka outlet. The Inventory page on the Main location shows 100 on hand. A website order comes in and is routed to the Main location; it draws from there. An Instagram order comes in and may be routed to the Dhaka outlet (if you have set a channel routing rule for Instagram). The two locations have separate counts and do not share stock.

Find 3 units were damaged by rain. You use the Unavailable adjustment to set the damaged count to 3. On hand stays the same; Available drops by 3. They are no longer offered for sale.

Return a vendor item and lose the units. You use Remove to subtract from On hand. Pick the reason: Theft or loss, Correction, or Other. The history records why.

You physically count your stock and it does not match the system. Use Count stock on the Inventory page. A sheet appears with every product's current system count. You type what you counted. When you save, only the products that differ are adjusted (history shows Stock count). If the count finds 20 but the system says 25, On hand becomes 20, the difference is recorded, and Available updates.

Questions people ask

Reserved units look like stock I have — can I sell them?

No. Reserved units are promised to open orders. The moment you take them, the order goes short and you may owe a refund or have to cancel. Keep Reserved units separate when you pick orders. The Inventory page always shows you which units are reserved.

Can I see stock across all locations at once?

Not in one view. The Inventory page shows one location. To see the total across locations, the product details (click a row) shows On hand by location. Or export a report of all locations in the Products report.

Do I need to set a cost price for each product to track inventory?

No. Cost price is only for calculating Stock value. Inventory works and tracks stock without it.

Can I export my inventory?

Use the Products report to export products with their stock, cost and selling price. The Inventory page itself does not have an export button.
