Reserved stock

Reserved means units promised to orders that have not yet shipped. You cannot sell reserved units to anyone else.

Exactly when stock is reserved and released

When you add a line to an order, stock is reserved immediately if the order is in one of these statuses:

• New — the order just came in
• Confirmed — you accepted it
• Hold — you paused it, for example to ship on a scheduled date
• Preparing — you are packing it

When the order changes to a different status, the reservation changes:

• Order ships (moves to Dispatched or Delivered): Reserved units move off On hand, so you cannot receive the same units twice. The units are now gone from both On hand and Reserved.
• Order is cancelled (moves to Cancelled): Reserved units are released without touching On hand. The units come back as available to sell.
• An order that already shipped (Dispatched or Delivered) and then moves to Return Pending changes nothing yet. When it moves to Returned, On hand goes up by the quantity not already received through a return case.
• A Cancelled order moved back to New: Reserved units go back on the reservation.

If you edit an order's items while it is in a reserved status, the old items are released and the new items are reserved. This happens automatically when you save the order.

How Reserved affects Available

Available = On hand − Reserved − Unavailable.

If you have 100 units On hand and 20 units Reserved for open orders, you have only 80 units Available to sell. The Inventory summary counts Reserved separately so you know what is committed.

When an order ships, both On hand and Reserved go down by the same amount, so Available does not change (the units are leaving, but the subtraction is the same). When an order is cancelled, Reserved goes down but On hand stays the same, so Available goes up (the units stay in stock).

Hold: keeping stock reserved while you wait

When you set an order to Hold status, its stock stays reserved. At 00:05 Dhaka time every night, Omnikyo automatically moves held orders that have a scheduled shipment date from Hold back to Confirmed once that date is today or earlier. Held orders without a scheduled date stay on Hold. The reservation stays through this move — nothing changes except the status.

If you take an order off hold yourself, change its status back to Confirmed (or New) and the reservation stays. The stock does not move.

Reserved can never go below zero

If a release would take Reserved below zero, Reserved is held at 0. On hand is allowed to go below 0 (if an order ships and you do not have enough), but Reserved never does.

Questions people ask

If I have 0 Available because stock is all Reserved, can I still sell it?

The order form shows an Out of stock warning for a product with nothing available. Reserving still adds to the Reserved count, so a customer order from your storefront can still come in. When you later move such an order to Dispatched from the order details window, you get a Low Stock Warning and can choose Proceed Anyway.

When I cancel a parcel in the courier app, does the stock come back?

Not automatically. Stock moves only when the order status in Omnikyo changes. If a parcel is refused and comes back, move the order to Return Pending and then Returned; the units go back On hand when it reaches Returned. See How returns restock stock.

Can I reserve stock manually?

No. Stock is reserved only when you add it to an order. There is no way to reserve units without an order.

What if I move an order from one location to another?

When you edit an order's items, the new items are reserved at the business default location and the old reservation is released from the old location. If you need stock from a different location, cancel the order and create a new one with the Fulfil from set to the location you want.
