Inventory problems and fixes
Symptoms and fixes for the most common inventory issues.
A product is missing from the list
What you see: A product you expect is not showing on the Inventory page.
Why it happens: The product is archived, or you are looking at a location that has no stock of that product, or the product has no inventory level yet.
How to fix it:
- Check your filters. Make sure you are not viewing Low stock or Out of stock only — switch to All.
- Check the location. You are viewing stock for one location at a time. Switch to All locations or a different location to see stock everywhere.
- Check if the product is archived. Go to Products and search for it. If it shows with an "Archived" badge, unarchive it first.
- If it is a new product with zero stock everywhere, adjust stock by pressing Adjust on a similar product row, then searching for yours.
The Adjust button is missing
What you see: You cannot find the Adjust button on a product row.
Why it happens: You do not have the Edit Products permission, or you are not viewing a specific location.
How to fix it:
- Check your permissions. Ask the owner to confirm you have the Edit Products permission in Settings › Team.
- Check the location filter. Select a location from the dropdown — it must be specific, not blank or "All". You cannot adjust stock across multiple locations at once.
Stock is below zero (Oversold)
What you see: On hand shows a negative number, like –2.
Why it happens: An order took more stock than was available, a correction was made incorrectly, or stock moved between locations and created a discrepancy.
How to fix it:
- Press Adjust on that product and set the count to the real on-hand quantity.
- If the count was correct before, check the Inventory page's Oversold filter to see which products are negative and investigate them one by one.
- Negative stock is shown visually (a red badge), but orders will still attempt to place on oversold products. Set the count to zero or above to stop new orders.
Available differs from On hand
What you see: The Available number is lower than On hand for a product.
Why it happens: Some units are reserved for open orders, or marked as unavailable (damaged or held from sale).
How to fix it:
- Available is calculated as: On hand minus Reserved minus Unavailable. Check the Reserved and Unavailable columns (they are hidden by default).
- If units are Reserved, they are held for orders that have not shipped. They become available again when the order is completed.
- If units are Unavailable, someone marked them as damaged or held. Press Adjust and mark them as available again.
Transfer button is missing
What you see: You cannot find a Transfer button on a product row to move stock between locations.
Why it happens: You need both the Inventory permission and Edit Products permission, and your business must have 2 or more active locations.
How to fix it:
- Check permissions. You need both page.inventory and products.edit permissions.
- Check locations. You must have 2 or more active (not inactive) locations. Go to Settings › Locations and toggle on any inactive ones.
- Check the location filter. Select a specific location, not All locations.
Transfer won't complete
What you see: You start a transfer but get an error, or the transfer stays pending.
Why it happens: The source location has no stock to transfer, the receiving location was deactivated, or there is a system error.
How to fix it:
- Check the source location has stock. View that location's inventory and confirm on-hand is above zero.
- Check the receiving location is active. Go to Settings › Locations and make sure it is toggled Active.
- If the error persists, wait a moment and retry.
Cannot delete a location
What you see: The delete button is disabled or you get an error.
Why it happens: The location is the default location, the last one in the business, or it still holds stock.
How to fix it:
- Make it inactive instead. Go to Settings › Locations, edit the location, and toggle Active off. Stock data is preserved.
- If you must delete it, first move or remove all stock. Use the Inventory page to adjust stock to zero.
- If it is the default location, set a different location as default first, then delete.
- A business must have at least one location. You cannot delete the last one. Create another location first.
An order took stock from the wrong location
What you see: An order fulfilled from Location A, but you expected it to come from Location B.
Why it happens: Channel routing is not set up, or the preferred location does not serve the order's source channel.
How to fix it:
- Go to Settings › Locations › Channel routing. This section only appears if you have 2+ locations.
- Check the routing rule for the order's source (Website, Messenger, Instagram, etc.). If it is blank, orders fall back to the default location or the first eligible location.
- Set a rule for that source to your preferred location.
- Confirm that location has the channel enabled (e.g., Online is on for Website orders).
Changes to stock did not save
What you see: You adjust stock or complete a count, but the change disappears or the old number returns.
Why it happens: The page did not refresh, or you lost permissions during the action.
How to fix it:
- Refresh the page (Ctrl/⌘ + R). Stock data may take a moment to sync.
- Check your permissions. If you were logged out or your role changed, you may no longer have edit access.
- Try the adjustment again. If it fails with an error message, note it and ask the owner.
