Mark stock as damaged or unavailable

Set aside units that are damaged or held back from sale without removing them from the On hand count.

Before you start

You need at least one location. If you use multiple locations, you pick which location the unavailable units are at.

Unavailable units cannot exceed the On hand count. If 50 units are on hand, you can mark at most 50 as unavailable. If you try to mark more, the form shows Can't exceed the 50 on hand and prevents you from saving.

Mark units unavailable

  1. In Inventory, find and click the product.
  2. Tap the Adjust button.
  3. Select the Unavailable action.
  4. Enter the number of Unavailable units (damaged, held back, waiting for inspection, or reserved for another use).
  5. Add an optional note (reason for marking them unavailable).
  6. Review the preview: On hand stays the same, and the damaged count increases. Confirm and press Save.

The Unavailable count increases. The On hand count does not change. The system recalculates Available as On hand − Reserved − Unavailable.

What this does

For example, a product has 50 on hand, 0 reserved. If you mark 5 units as unavailable (damaged):

  • On hand: still 50
  • Unavailable: 5
  • Available: 50 − 0 − 5 = 45
  • Customers can buy only the 45 available units; they cannot order the 5 unavailable ones.

If you later return 3 of the damaged units to the shelf (after cleaning or repair), mark them available again by setting an Unavailable adjustment of 2 (the new count of unavailable units). The count decreases, and the 3 units become Available again.

Return units to sale

To send some unavailable units back to the shelf:

  1. Open Adjust for the product.
  2. Select Unavailable again.
  3. Enter a lower number — the new total of unavailable units.
  4. For example, if you currently have 5 unavailable and you fixed 2, enter 3. The system marks the 2 units as available again.
  5. Save.

Differences from other adjustments

  • Set count: Records the exact total on the shelf right now.
  • Unavailable: Marks how many of the On hand units cannot be sold (they are still yours, still counted, just not sellable).
  • Remove: Subtracts units you no longer have (lost, stolen, scrapped).

A product with 50 on hand and 5 unavailable still has all 50 units — 5 are just not for sale. If you remove 5, you have 45 on hand and they are gone.

Questions people ask

Does marking stock unavailable affect orders?

Yes. Orders cannot reserve or consume unavailable units. If a customer orders from the available pool (45 in the example above), the order reduces Available but not Unavailable.

If you later mark more units unavailable, existing orders stay reserved, but new orders cannot take from the unavailable pool.

What if I marked units unavailable by mistake?

Set an Unavailable adjustment to a lower number. For example, if you mistakenly marked 10 as unavailable, set it to 0 to bring all 10 back into Available.

Can I use Unavailable for items on hold for a customer?

You can, but it is not the recommended workflow. Unavailable is for stock that is physically damaged or cannot be sold. If a customer has a pending order, the system reserves those units — you do not need to mark them unavailable.
