Edit a product

Click a product row to open details, then tap Edit to open the full editor. Change any field — title, price, stock, variants, photos, or status. The editor warns you if you have unsaved changes before you leave.

Where to find it: Sidebar › Products › All products › [click a product row] › Edit button Who can do it: Anyone with the products.edit permission.

Open the editor

  1. Open Products in the sidebar
  2. Click or tap a product row to open the details modal
  3. At the top of the modal, click the Edit button (or edit icon)

The full editor opens, showing all the product fields you saw when you created it.

Edit any field

You can change:

  • Title and Description — the product name and details
  • Photos — upload new ones, reorder, edit alt text, or remove
  • Price, Compare-at, Cost — any money field
  • Stock — the quantity on hand (simple products only; variant and multi-location stock is set elsewhere)
  • SKU and Barcode — unique codes
  • Status — change between Active, Draft and Archived
  • Category, Vendor, Product type, Tags — organisation fields
  • SEO title and description — search engine listing preview
  • Weight — for courier calculations
  • Variants — change option names, add/remove values, edit variant prices and costs (for variant products)
  • Custom fields — fill in metafield values if your products have them

Edit any field directly. There is no separate "edit mode" — just start typing or tapping.

Watch for unsaved changes

The editor tracks what you change. When you have unsaved edits, the header shows "· Unsaved changes" in amber next to the status dot.

Unsaved changes label — You have made edits that are not yet saved.

Saved checkmark — All your edits have been saved successfully.

Save or discard

At the top right of the editor, you have two buttons:

  • Save (when you have changes) — save all edits to the product
  • Create (only for new products) — create the product with your entries
  • Discard (when you have changes) — throw away all unsaved edits and close the editor

Click Save to save your changes. If saving fails, a toast explains why — for example, if the SKU is a duplicate, you will see "SKU already exists" and the field is highlighted.

To discard unsaved changes, click Discard. A modal asks:

"Discard your changes?" "What you changed since the last save will be lost."

Tap Keep editing to go back, or Discard to confirm and close the editor.

Keyboard shortcut

Press Ctrl+S (Windows/Linux) or ⌘+S (Mac) to save the current changes.

Page back button

If you tap the back arrow (← Back to products) while you have unsaved changes, the same discard modal appears. Confirm to leave.

If you navigate using the sidebar or search palette while editing, any unsaved changes are lost without a warning. The editor closes and you jump to the new location. Avoid this by always saving before you navigate away.

Save order and partial failures

The editor saves your changes in this order:

  1. Core product data — title, description, status, price, cost, SKU, category, vendor, type, tags, weight, barcode, SEO fields
  2. Variant structure — option names and values (if you changed the variant setup)
  3. Images — cover photo and all product photos
  4. Metafields — custom field values
  5. Complementary products — related product picks (if the feature is on)
  6. Per-location stock — on-hand quantities at each location (for multi-location products)

If an early step succeeds but a later step fails, your product is partially saved and a "Save incomplete" toast tells you what failed.

Save outcomes and toasts

"Product updated" — Every change was saved successfully.

"Product created" — (new product) Successfully created.

"Product created with warnings" — The product was created but image upload had issues; edit it to fix photos.

"Save incomplete" — The core product was saved, but a later step (variants, images, metafields, stock) failed. The toast shows details: "Saved product, but {component} failed: {reason}". Fix the problem and save again.

"Failed to save product" — The core product save failed. Check the error message (e.g. title is required, SKU is duplicate, price is invalid) and fix it.

Common save errors

"Name is required" — You left the Title blank. Type a product name.

"SKU "X" already exists. Please use a unique SKU." — The SKU you entered is used by another product. Change the SKU to be unique, or leave it blank and the system will generate one.

"Price must be non-negative" — The price you entered is negative. Enter a number ≥ 0, or leave it blank for now (you can add it later).

"Stock cannot be negative" — The stock quantity is negative. Enter 0 or a positive number, or set it on the Inventory page instead.

Change product status

In the Status card (top left), toggle between Active, Draft and Archived:

  • Active — the product is for sale (shows in your store and order forms)
  • Draft — hidden; you are still working on it
  • Archived — no longer for sale, but kept for records

A new product is always Draft. Change it to Active when it is ready.

The Archived option is only visible when editing an existing product (not when creating). To archive a product, change its status to Archived and save. Archived products cannot be sold or shown in order forms.

Delete a product

To permanently remove a product:

  1. Open the editor
  2. Click the overflow menu (⋯) in the top right
  3. Tap Delete product
  4. A modal asks: "Delete this product?"
    • "Its N variants and their stock go with it. Past orders keep their line items. This can't be undone."
  5. Tap Cancel to keep it, or Delete product to confirm

A success toast says "Product deleted" or an error toast explains why (e.g. the product is attached to an order).

Careful: Deleting is permanent. You cannot undo it. If the product is part of an existing order, you must archive it instead of deleting.

Edit variants

For products with options (like Size and Colour):

  1. In the Options card, change an option name or add/remove values
  2. As you change values, the variant table updates automatically to show new combinations or removes deleted ones
  3. Set each variant's price, cost and stock
  4. Save to update the variant structure

If you switch a variant product back to One version, all variants are deleted. A warning says "Saving as one version removes this product's variants." Confirm to lose the variants and their stock.

Edit multi-location stock

For products with multiple locations:

  1. Scroll to the On hand by location card
  2. Click the quantity field for each location and enter the stock
  3. Save; the stock is written per location

For variant products, variant-level stock is read-only — it shows a breakdown popover. To edit variant stock per location, use the Inventory page or the View in Inventory link.

Questions people ask

Why does the editor show "Unsaved changes" even though I did not change anything?

The editor may have auto-refetched stock data in the background (e.g. after another user adjusted inventory). The stock fields are refreshed but not marked as "changed" — if you save, it should say "Product updated" even though only stock was refreshed.

What happens if I reload the page while editing?

Your unsaved changes are lost. The browser asks "Leave this page?" because of the beforeunload warning. Confirm to reload and lose your edits, or cancel to stay and save first.

Can I edit a product that is part of an order?

Yes. You can edit any product freely. Past orders keep a snapshot of the product's name and price at the time the order was placed, so changes do not affect old orders.

Can I duplicate a product?

There is no built-in duplicate feature. To copy a product, create a new one and manually fill in the same details, or bulk edit to copy fields from one product to another.

Why is my product marked as Draft when I saved it as Active?

The product is saved with the status you chose. If it shows Draft, you either did not change the status before saving, or a later editor instance overwrote your change. Always check the status before saving.
