How products work

A product is an item you sell. You define a product's name, price, photos, and stock. Every product has a status that controls where it appears: Active products show in your store and order forms; Draft products are hidden; Archived products are kept for records only.

What is a product

A product is anything you sell. It has a name, description, photos, a price, and a quantity on hand. Some products are simple — one version, one price, one stock count — and others come in variations.

Simple products and variants

A simple product has one version. For example, "Classic polo shirt" is a simple product if you only sell it in one colour and one size.

A product with variants (or variant product) comes in multiple versions, each with its own price and stock. For example, "Classic polo shirt" with options Size (S, M, L, XL) and Colour (Navy, Maroon) creates 8 variants — one for each Size/Colour pair. Each variant can have a different price, cost, stock count and SKU.

When you create a product, you choose One version or Has options. Switching between them later is possible: changing a variant product back to one version deletes all variants (their stock and prices are lost).

Product statuses

Every product has a status. The status controls where the product appears and whether customers can buy it.

A new product starts as Draft by default. Change it to Active when it is ready to sell. You can archive a product instead of deleting it; archived products stay in your records and their orders stay intact.

Where products appear

A product in Active status appears in three places:

  1. Your online store — Your store's shopping page lists active products by category. Customers browse, read details and buy.
  2. Order forms — When you create an order manually (in the Create order form), active products appear in the product search so you can add them to the order.
  3. The Inventory page — All products, regardless of status, appear on the Inventory page so you can track stock.

Draft and Archived products do not appear in the store or order forms, but you can still edit them, see their history and check their stock.

Simple product fields

Every simple product has:

  • Title — the product name (required; shown on the store and in order forms)
  • Description — a rich-text description shown on the store page
  • Photos — one or more images; the first is the cover photo shown in lists and on the store
  • Price — the selling price in taka (৳); required for active products
  • Compare-at price — an optional original price, shown struck through ("was ৳500")
  • Cost per item — what you paid for the product (never shown to customers; used to calculate profit)
  • SKU — a unique code you or the system generates (e.g. POL-001); optional but recommended
  • Barcode — an ISBN, UPC or GTIN code
  • Status — Active, Draft or Archived
  • Category — which category the product belongs to (optional)
  • Vendor — the maker or brand (optional)
  • Product type — what kind of item it is (optional; e.g. "Clothing", "Electronics")
  • Tags — keywords for filtering (optional)
  • Weight — in kilograms; used by couriers to calculate delivery fees
  • Stock on hand — how many you have (required; starts at 0)

Variant product fields

A variant product has all the fields of a simple product, plus:

  • Options — up to 3 choices that create variants (e.g. Size, Colour, Material)
  • Option values — the choices within each option (e.g. S, M, L, XL for Size)
  • Variants — one per combination of option values (e.g. {Navy, S}, {Navy, M}, {Maroon, S}, etc.)

Each variant has its own price, cost, stock count, SKU and photos. When you create a new variant by adding an option value, the system generates an SKU and starts stock at 0.

Who can do what

Anyone with the page.products permission can see the products list, open the editor, and see product details. The owner always has access.

The products.create permission is needed to create a new product. Without it, the Add product button is hidden.

The products.edit permission is needed to edit an existing product: change the name, description, price, photos, stock, variants, and status. Save changes. Without it, the Edit button is hidden.

The products.delete permission is needed to delete a product from the system. The product and its variants are permanently removed (unless it is attached to an order, in which case you must archive it instead). Without it, the Delete button is hidden.

The products.variants_manage permission is needed to save changes to a product's options and variants (the variant structure). This includes adding options, removing option values, and reordering variants.

If your subscription is write-blocked (account past due), you cannot create, edit, delete or change product stock — all mutation buttons show a prompt to upgrade instead.

Questions people ask

What is the difference between Draft and Archived?

Draft is for products you are still working on or not ready to sell yet. Drafts do not appear in your store or order forms, but you can edit them freely. Archived is for products you no longer sell but want to keep in your records (so you can see their order history). Archived products also do not appear in the store, but you cannot edit them in the editor — you must unarchive them first or delete them.

Can I change a variant product back to a simple product?

Yes. In the editor, switch from Has options to One version. A warning says "Saving as one version removes this product's variants." The variants and their stock are deleted and cannot be recovered.

Do my customers see the SKU?

No. SKUs are for your own organisation — they do not appear on your store or in customer orders. Customers see the product title and any variant options (Size, Colour, etc.), but not the code.

Can I see where a product is used?

When you view a product in the details panel (click a row in the list), you can see recent orders that include this product. The Orders section shows the 5 most recent orders. Open an order to see the full context.
