Find and filter products

Search and filter to find the exact products you need. The search box finds by name, SKU and description. The Filters button opens a menu with stock level, status, category, tags and more.

Search by name, SKU or description

The Search products or SKU box at the top left finds products by:

  1. Product title/name
  2. SKU (the unique code)
  3. Description (the product details text)

Type any text and matches update automatically. The search is case-insensitive and finds any substring — so typing "plo" matches "Polo", "Polyester" and any product containing those letters.

To clear the search, click the ✕ inside the box.

If you have status, category or tag filters active, the search results respect those filters — search runs on the filtered set, not all products.

Open the Filters menu

Tap or click the Filters button (funnel icon) above the table. A panel slides open on the right showing filter sections. A badge on the button shows how many filters are active. The footer of the panel has Reset to clear all filters at once.

Filter by stock level

The Stock filter is a toggle with four options:

  • Any — no stock filter (default)
  • In stock — products with more than 0 on hand
  • Low — products with 1 to 5 on hand
  • Out — products with 0 or fewer on hand

The hint explains: "On hand; a product with variants counts them all."

For variant products, the count includes all variants' stock added together. For example, if a Size-M variant has 3 in stock and Size-L has 2, the parent product shows 5 in stock for Low/In/Out purposes.

Filter by product type

Choose between All, Simple or Variants:

  • All — every product (default; shows only top-level products, not variant children)
  • Simple — products with one version only
  • Variants — products with multiple versions (Size, Colour, etc.)

Filter by source

Show products from a specific source:

  • Any — all products (default)
  • Omnikyo — products created manually in Omnikyo
  • Shopify — products imported from a Shopify store

Filter by category

The Category filter shows every category you have created. Tap one or more category chips to filter. Only products in those categories appear. If no categories exist yet, a hint says "No categories yet. Create them under Catalog."

Filter by tags

The Tags filter works with AND logic — a product must have every selected tag to match. For example, if you pick "Summer" and "Sale", only products tagged with both Summer and Sale appear.

Tap a tag chip to add it to the filter. Tap again to remove it. The hint explains: "Products with every tag chosen."

If no tags exist yet, the hint says "No tags yet. Add tags in a product's editor to filter by them."

Filter by type and vendor

Product type and Vendor filter chips appear only if your products use these fields. You can select multiple types or vendors — products matching any of them are shown (OR logic).

Attention filters

The Needs attention section toggles two special filters:

No photo — shows products without a main cover image. This finds products you need to add photos to. The hint says "Products without a main image."

No category — shows products not in any category. This helps you organise products you have not assigned yet.

Combine multiple filters

You can use many filters at once. For example:

  • Filter by Stock = "Low" and Category = "Clothing" and Tag = "Summer" to find summer clothing running low on stock.
  • Filter by Source = "Shopify" and No photo to find imported products you need to add photos to.

All active filters are combined with AND logic. The badge on the Filters button shows how many are active.

Save filter state in the URL

All filter settings are stored in the page URL. You can:

  1. Bookmark a filtered view — the URL keeps all your filter choices
  2. Share a filtered view — copy the URL and send it to a team member; they see the same filtered list
  3. Refresh the page — the filters stay the same
  4. Jump back from an editor — the list restores its filters, sort and page

The URL parameters are: q (search), status, cat (category id or "none"), source, type, vendor, mode, stock, photo, tags, sort, dir (sort direction), page, size (page size).

Sort and page results

After filtering, you can:

  • Sort — click any column header to sort by that column (Name, Price, Stock, Status, Category, Updated)
  • Change page size — choose 10, 20, 50 or 100 rows per page at the bottom
  • Navigate pages — use Previous/Next buttons or jump to a specific page

The current page and sort order are remembered while you browse.

Reset all filters

In the Filters panel footer, tap Reset to clear all active filters at once. The list returns to the default view (all products, any status, any stock level, no search).

Questions people ask

How do I find a product I can't remember the name of?

Try searching by any text you remember from the description, or the SKU if you know it. You can also filter by category, vendor or tags if the product has them assigned.

The search finds the parent product. When you expand it, all variants appear. There is no separate search result for each variant — only the parent's name is searchable.

What happens if I filter by a tag but no products match?

The list shows "No matching products" and suggests "Try adjusting or clearing your search and filters." Tap Clear filters to remove all filters and see all products again.

Can I filter by multiple categories with OR logic?

No. The category filter uses AND logic — if you select two categories, only products in both categories appear. Most products belong to one category, so AND returns zero results. To see products from multiple categories, use the filter one category at a time.

How do I find products by vendor?

The Vendor filter appears only if your products have a vendor assigned. In the product editor, add a vendor name in the Organisation card, then you can filter by it.
